Enrolment Procedures
  • PAY or RENEW your membership before you enrol.   Membership renewals open on 1 November of the year preceding the new course year.
    NOTE: Membership payments and renewals are temporarily closed during Enrolment Week to minimise the load on our systems. You MUST pay before Enrolment Week begins if you wish to enrol during that week.
  • Enrolments for the new year usually open in the second week in December of the preceding year.
  • Please read the Enrolment Policies at the foot of this page before you enrol, so that you understand how places are allocated in courses with a limit.

Advertising Courses

The Course Guide for First Term is available towards the end of November in the preceding year, with enrolment in December.

The Course Guide is updated regularly during the year as courses are added and changed.  New courses are also advertised in the U3APP newsletters, together with the opening time for enrolments for these courses, usually the Monday following the publication of the newsletter.

When enrolments open, you can enrol online in a course until it fills, at which point you can add your name to the waitlist.

Course and enrolment information, including term dates and enrolment start dates, is published on the U3APP website and in the newsletter prior to the enrolment period.

Course delivery at U3APP

U3APP courses are delivered either ZOOM (ONLINE) or F2F (face to face).

To participate in a ZOOM course:

  • In advance, set yourself up in Zoom by following our Zoom guidelines.
  • On the day and time of your course,  go to  the Online Course Links page under Courses & Enrolling, scroll down to find your course and click on it to join the class.
  • If your tutor has provided links to online course materials, they may be listed underneath the course name.
  • By enrolling in a F2F course, you confirm that you have read and agreed to the COVID Conditions.

Location of F2F courses:

Most courses are held at the Mary Kehoe Community Centre in Albert Park. However a number of other venues within the City of Port Phillip are used. Please check the course descriptions carefully so that you know where each course you enrol in will be held. Course descriptions include a map to help you locate venues that you may not be familiar with.

Enrolment Policies

Course Eligibility

These policies aim to give all members an equal opportunity to enrol in a class of their choice:

  1. No preference is given to members enrolled in any course in previous years.
  2. All courses are open for enrolment on a first-come-first-served basis.
  3. Individual tutors may have particular requirements for eligibility in their classes.
  4. Enrolment is restricted for our most popular Art, Exercise and Language courses – marked (A), (E) or (L) in the course guide. Members may not enrol in more than two of courses that are so marked.

Waitlist

  1. We maintain waitlists for all courses and events once they fill.  Waitlists are actively managed throughout the year, so you have a good chance of gaining a place if you put yourself on a waitlist.
  2. When a space becomes available in a full course or event, it is automatically offered to the first person on the waitlist.  If that person is unable to accept the position, the place is offered to the next person on the list.
  3. If an additional course is organised for a full course, spaces are automatically offered to the people on the waitlist, in the order in which they were waitlisted, before being opened for bookings by other members.

Apologies

  1. Out of courtesy to our tutors and to keep our records up-to-date, we request that you apologise in advance if you are going to miss one or more classes.
  2. Three sequential non-attendances without an apology may mean you will lose your place.
  3. If you give notice of extended leave for five or more consecutive classes from weekly courses – or three or more from fortnightly courses or two or more from monthly courses – that vacated place will be offered to the first person on the waitlist, and you will in turn be moved to the top of the waitlist for that course.  This policy will only affect courses which have a waitlist and if required the tutor will be consulted to make sure that the move is appropriate.  We anticipate that a member will be able to return to class soon after their extended leave.  Click here to read the full version of the extended planned leave policy
  4. For courses which were originally scheduled to be held face-to-face and were changed to an online course: As we have not been able to run any indoor face-to-face classes since the start of the COVID pandemic, members who are unable or who do not wish to attend classes on-line have been removed from course enrolments and waitlists. This policy will remain until such time as we are able to schedule face-to-face classes.

Withdrawal from a course

  1. Out of courtesy to our tutors, to keep our records up-to-date and to make your place available to someone else, we request that you officially withdraw if you stop attending a course altogether.

How to Enrol

On-line: after bookings have opened

On-line enrolments are preferred as this significantly reduces the amount of back-office work for our volunteers.

  • Login to the U3APP.org.au website.
  • Go to the Courses & Enrolling page.
  • Scroll down to find the course that you are interested in.
  • Does the course have spaces available?
    • Click on the course name to go to the booking page.
    • Click on “Book for this course or event”.
    • You will receive a confirmation email.  Please check your Junk/Spam folders as these automatically-generated emails often finish up there.
  • OR is the course shown as FULL?
    • Click on WAITLIST.

Paper Enrolment Form: before bookings open for First Semester

  • Obtain a paper Enrolment Form either from the Office or by printing an online copy available here.
  • Complete the paper Enrolment Form and submit it to the Office.

The start date for acceptance of paper Enrolment Forms for first semester is published on the U3APP website and in the e-Bulletin. Enrolment Forms received before this date are treated as though they had been received on the start date (ie there is no advantage to be gained by submitting early). On the start date and thereafter, paper Enrolment Forms are numbered in order of receipt.  Paper Enrolment forms are processed by U3APP volunteers on the same day as on-line bookings.

If your enrolment is successful, you will receive a confirmation email.  Please check your Junk/Spam folders as these automatically-generated emails often finish up there.

If your enrolment is unsuccessful,  you will receive an email telling you that you have been waitlisted.
